Effective employee training on artificial intelligence: AI and me.

“If you ask AI, you'll only get nonsense anyway!”

Three statements about artificial intelligence that you will probably hear from your employees, all of which contain some truth. Above all, they make one thing clear: how important it is to proactively educate people about artificial intelligence in order to make the most of its potential. Because each of these statements contains only part of the truth, and only the whole picture enables us to understand artificial intelligence for what it should be: another tool for working better and more efficiently.

Meaningful training does not begin with operating individual chatbots or agents. It is important to develop an open and reflective mindset that embraces opportunities and correctly assesses risks. Participants in an “AI and Me” training course should be encouraged to question their own attitudes toward AI and to actively participate in shaping change.

But first, the central question in such training should be answered: What exactly is a chatbot, an agent, a model, and above all, what is the difference between them? There is no such thing as “AI” per se; rather, there are numerous models and different ways of accessing them, all of which offer different possibilities but also involve limitations and risks. To talk about AI, you need a basic understanding of what it is all about.

And probably the most important goal of AI training should be to learn about and assess the legal and ethical limits of artificial intelligence in general and the tools used in the company in particular. The EU AI Act not only rightly stipulates that anyone working with AI in a company should be trained to do so, but also provides the basic framework. However, it is also essential to be aware of internal company rules in order to work safely and efficiently with artificial intelligence and to protect both the company's own data and that of its customers. Not every tool should be used just because it quickly achieves the desired result.

Of course, there is one thing that cannot be missing from good AI training: practice, experimentation, application! Your own actions and experiences with the systems are essential for gaining confidence. But exchanging experiences with colleagues and sharing best practices also helps to develop the best possible use of the new tools. Especially in new fields of technology such as AI, experiences vary greatly. Take advantage of your employees' experiences to learn from each other.

To be effective, training must be tailored to the circumstances of your company and the working environment of your employees. Use practical case studies to explain to your employees which tools you provide, what they are intended for, and how to use them. Everyone has heard of Chat GPT, and many have already tried it. But a public chatbot is different from an agent for market data analysis or an assistant for contact recording in the field. And every tool carries different risks if used incorrectly and resulting in false conclusions. It is therefore worthwhile to familiarize your employees with the tools. On the one hand, to get them used to their new tool and, on the other hand, to ensure that they use it efficiently and cost-effectively.

Fazit

Your employees should undergo training to alleviate their fears about AI tools and channel their enthusiasm. To do this, it is necessary to understand what AI is, what it can do, and what it cannot do. Utilize your employees' existing experience to build trust and risk awareness. And focus on your employees' working environment: concrete use cases are always the best way to learn!
