The transition from Veeva CRM (Salesforce-based) to Veeva Vault CRM presents unique challenges for companies in the life sciences industry. Unlike traditional release updates, this is a platform migration that involves a new architecture as well as changes to data and process logic. Consequently, testing requirements are also more demanding—both from a technical standpoint and in terms of user acceptance testing (UAT). Technical Testing Perspective: Platform Migration Instead of a System Upgrade

Architectural and Data Model Differences

Veeva CRM is based on Salesforce, while Veeva Vault CRM runs on the proven Vault platform with a rigorous metadata concept. Technical tests must therefore ensure that:

  • all relevant objects, fields, relationships, and lifecycle states are correctly mapped,
  • user- and role-specific customizations from Veeva CRM (e.g., workflows, validations, permissions) have been implemented with functional equivalence,
  • previous Salesforce dependencies (e.g., Apex logic, trigger behavior) are adequately replaced.

A simple “compare-and-replace” approach is not sufficient here. The tests must be deliberately designed to ensure business-level equivalence rather than technical identity.

Data Migration and Data Quality

A key area of risk is data migration. Technical tests must cover, among other things:

  • the completeness and integrity of the migrated data records,
  • correct historical tracking (audit trail),
  • Mapping of complex field logic (e.g., dependent picklists, references),
  • Handling of legacy data that may no longer be supported in the Vault CRM target model.

Multi-stage testing procedures (dummy imports, partial imports, full imports, etc.) including automated validity checks are recommended.

Integration tests

In many system landscapes, Veeva CRM is deeply integrated into an existing ecosystem (ERP, MDM, BI, marketing automation). Veeva Vault CRM now provides different integration mechanisms (APIs, Vault CRM Loader, SDKs). Technical tests must therefore take the following points into account:

  • End-to-end data flows, including error and retry scenarios,
  • Performance and latency,
  • Security and authorization concepts at the interface level.

UAT Perspective: A New Way of Thinking for End Users

Changes to the User Experience

Veeva Vault CRM differs from Veeva CRM not only technically but also conceptually. Although the mobile user experience is very similar, Vault CRM is distinguished by:

  • different process logic,
  • modified status and lifecycle logic,
  • and greater compliance in the context of users and roles.

UATs must therefore not only verify whether something works, but also whether it is understandable and usable efficiently by the target audience. Traditional “happy path” tests are not sufficient here.

Role and Permission Concepts

Veeva Vault CRM uses highly granular role and security models. UATs should specifically ensure that:

  • Users can view and edit only the data corresponding to their role,
  • critical actions (approvals, status changes) are properly secured,
  • typical error scenarios (e.g., lack of permissions in day-to-day operations) are detected early.

This requires role-based UAT scenarios rather than generic tests.

Process-Oriented Test Cases

Unlike individual functional tests, UATs should map end-to-end business processes, e.g.:

  • Preparation, execution, and follow-up of a customer interaction,
  • Release and approval processes,
  • Transfer of data to connected systems.

It is also particularly important to consider exceptional cases that frequently occur in day-to-day operations but are often overlooked in traditional tests.

Conclusion: Key factors for a viable testing strategy

A successful migration from Veeva CRM to Veeva Vault CRM requires structured test management. A key prerequisite is the clear separation of technical testing and user acceptance testing. Equally important is the timely training of all roles with administrative permissions, such as system and business administrators or data stewards. Business representatives should be involved early on in defining test cases to ensure that requirements are practical and relevant. In addition, realistic test data and production-like scenarios are necessary, as is sufficient time allocated for training and to account for the users’ learning curve. In this context, testing is far more than mere quality assurance; it is a critical success factor for acceptance, compliance, and the long-term success of the Vault CRM implementation.
